SURVEY OF MANAGEMENT OF STUDENTS’ RECORDS PRACTICES IN SELECTED NIGERIAN PRIVATE UNIVERSITIES

Abstract
This paper discusses a survey of students’ records management practices in selected Private Universities in Nigeria. The population of study is made up of 78 registry staff of the selected institutions. The research instruments used in the collection of data include; the questionnaire, direct observation and interview techniques. 88% response rate was achieved. Analysis of data was based on frequency distribution of findings, and deductions from percentile calculations. The study revealed that, students’ records formed the greatest part of records kept by the registry units of the Universities under consideration. The students’ vital records include admission letters, statement of results and students’ transcripts. The study shows that alphabetical filing system is the preferred filing methods by these institutions. The study reveals that the universities’ registries under study stored students’ vital documents in locations within the university to ensure proper management and protection from possible destruction. The study also revealed that, there may be need for more Archivists and Records Managers in these universities for proper management of students’ records. Based on the findings above, it was recommended that; management should provide adequate facilities for future expansion and proper management of students’ records; train and retrain its personnel to ensure effectiveness and efficiency. Cultivate the practices of fumigating the records at regular interval; employ qualified personnel to manage the students’ records and digitize/ automate the students’ records for proper management.
